This procedure outlines the process that applies to staff resigning from their University position.

Authorised Officer – the officer authorised to exercise the relevant HR power or function in accordance with the HR Authorisation Schedule

3. Procedures Scope/Coverage

This procedure applies to continuing, continuing (contingent funded) and fixed-term staff resigning from their University position.

4. Procedures Statement

Staff wishing to resign from University positions must forward written notification of resignation to the Head of their organisational unit. The minimum period of notification of resignation is prescribed in accordance with the Enterprise Agreement.

5. Procedures

5.1 Submitting the resignation

To resign from a University position a staff member must forward a Notification of Resignation form or letter of resignation to the Head of Organisational Unit. Once the resignation has been received, this form is then forwarded to the relevant Human Resources Officer for processing. In the case of a resignation from an academic staff member it is forwarded via the Executive Dean. The Human Resources Officer will process the resignation, notify appropriate sections such as Employee Benefits, calculate if there are any residual leave entitlements or financial obligations and take the appropriate action.

5.2 Periods of notice

The minimum period of notification of resignation is as included in each individual letter of offer. The minimum prescribed periods are in accordance with the Enterprise Agreement. If the prescribed period of notice is not given, equivalent salary may be forfeited in lieu of notice unless the Authorised Officer advises that a variation of the period of notice is supported.

5.3 Entitlements

Once any residual entitlements or financial obligations have been calculated, the relevant Human Resources Officer will forward a confirmation of resignation letter to the resigning staff member, detailing all entitlements and any further action that needs to be taken with regard to superannuation. Providing the Human Resources Officer receives prompt notification of resignation, a staff member may be paid any residual entitlements on the last day of employment, but not later than 18 days after the resignation date.

5.4 Superannuation

Superannuation information will be specified in the letter confirming the resignation. Enquiries on superannuation entitlements should be directed to the Employee Benefits Section, Human Resources Division.
