1. Purpose and Objectives

This procedure details the specific actions and process that must be followed to implement the UQ digital presence and domain naming standards for UQ.

2. Definitions, Terms, Acronyms

UQ digital presence – includes the design, content and technology that supports the digital landscape.

Domain name – a unique name that identifies a website.

Sub-domain name – a lower-level component of a domain name. For example, www.uq.com and support.uq.com are sub-domains of uq.com

URL – Uniform Resource Locator, a reference (an address) to a resource on the internet

3. Procedures Scope/Coverage

This is a University-wide procedure which applies to all organisational units of the University and all individuals who contribute to the UQ digital presence.

4. Procedures Statement

This procedure provides detail on UQ digital presence in respect of top level domain naming standards for UQ organisations, use of the UQ content management system and brand elements for use on UQ web facing sites.

5. Top Level Domain Naming Standards for UQ Organisations

5.1 Domain naming standard

Domain names are an important component of The University of Queensland’s online presence.

Domain names should reflect a cohesive approach to the University’s online presence, enabling the accuracy, consistency, discoverability and marketability of uq.edu.au domain names. The domain naming standard:

  • allows the allocation of legible names that describe the purpose and intent of the domain in a consistent manner;
  • avoids collisions and differentiates similar words;
  • provides clarity and structure in the selection process; and
  • separates organisational sites, units and groups from the UQ corporate web presence.

The University of Queensland publishes information to the world wide web under a range of domains. The allocation of URL’s and sub-domains at the top level *.uq.edu.au name space is described in this document. Within organisational unit sub-domains, the allocation of URL’s and sub-domains is at the discretion of the organisational unit.

Table 1 demonstrates the approved domain name standard, available sub-domains, eligible members of those groups and examples. UQ’s domain naming procedure relating to the top level *.uq.edu.au name space is based on a hierarchical structure of sub-domains separating the type of entity via “.” notation of the form *.type.uq.edu.au. The use of hyphens “-” is recommend for word separation, hyphens map to “white space” e.g. how-to-apply => “how to apply”.

5.2 Requesting a domain name

Domain names must be requested by sending an email to itsupportdesk@its.uq.edu.au. The request should include:

  • Your organisational unit
  • Your name
  • Your role
  • Domain name requested
  • Reason for requesting this domain name.

 

5.3 Exceptions to domain naming standard

Exceptions to the domain naming standard must be approved by the Director of ITS. Requests for an exception should be emailed to director@its.uq.edu.au and include:

  • Your organisational unit
  • Your name
  • Your role
  • Domain name requested
  • Reason given by ITS for declining this domain name
  • Reason for requesting this domain name be reconsidered.
